In December 2013, Ingersoll Rand's Belgium office called in experts from Consotel Global Services to get a clearer vision of its mobile expenses. After seeing positive results, the decision was made to expand the project to the whole EMEA zone for its landline, mobile, and data connections.

"Based on past experience and convinced of its added value, I naturally returned to Consotel," explained Henri Vanroelen, the EMEIA Information Technology Vice President at Ingersoll Rand. Given the substantial scale of the group's mobile and landline expenses for this region, Mr. Vanroelen needed the assistance of a company that has a great deal of experience in the telecommunications sector and the major corporations associated with them.

Consotel Global Services was initially asked to manage Ingersoll Rand's mobile fleet in Belgium. The first discussions took place throughout 2013 for an end of the year deployment. "We looked at the money that could be saved between January 2014 and January 2015, and estimated a 44.3% cost reduction for mobile lines," continued Vanroelen. The logical evolution that followed expanded the operation to its whole EMEA area, which includes 23 countries, 3,500 mobiles, 1,200 landlines and 360 "back-up" Data lines. By mid-2014, six countries were already using the Telecom Expense Management (TEM) specialist's services, about 500 mobiles and 1,000 landlines. CGS experts predict that contracts will be underway with all 23 countries by 2015. Ingersoll Rand is well aware of the challenges noting that, "Contacting each site in each country to renegotiate contracts takes time". For the lines used by all 23 countries, they have estimated an overall cost reduction of 7.5%.

A Single Point of Contact: considerable time savings

Major cost reductions, however, were not Ingersoll Rand's only concern. Mr Vanroelen also wanted to facilitate overall telecom contract management: "Consotel can collect all telecom data and make it available in a single report". This was a unique and essential factor for the Vice President which allows fast, individual evaluations to be made quickly. "When there is a problem, it doesn't matter where it comes from; we call Consotel and their experts take care of everything for us," Mr Vanroelen explained.

Ingersoll Rand has also seen additional benefits from this project and deploying the TEM solution, in particular a greater visibility of telecom expenses and therefore more intelligent management of different lines. One valuable advantage for Mr Vanroelen is that "everything has become much simpler now because, with Consotel, we have reporting tools and a Single Point of Contact*". Ingersoll Rand is now able to understand its telecom usage and contracts for each country. "We have all the detailed information we need, which has allowed the group to gain a clearer insight and make comparisons". With all of the available data, it has become easier and faster to set provisional budgets for telecom expenditures. "Before it was a nightmare to assemble all of this data, but now it's done in 30 minutes," Mr Vanroelen stated enthusiastically.

After collecting data from the 23 countries in the EMEA zone, Consotel Global Services also foresees streamlining all of Ingersoll Rand's contract dates. This is a key leveraging factor for the group in managing future telecom expenses and negotiations from start to finish.

* The Single Point of Contact is a unique way of consistently communicating with an organization, even in the light of complex circumstances.
